This section is not meant to replace your Meridian Mail Voice Messaging User Guide, which is delivered when Voice Mail is first installed on your telephone. Rather, it's meant as assistance if you book gets lost or for new employees accessing Voice Mail for the first time. The instructions below are "the short course" for using voice mail.
Logging In ~ Changing Your Password ~ Recording Your Greetings ~ Recording Your Personal Verification
LOGGING IN:
Logging in means accessing your mailbox in the Meridian Mail system so that you can play your messages and use all the other Meridian mail features.
To log in from your NSU telephone;
- Dial 88, the access number for Meridian Mail (From off-campus dial 918-456-5511 and extension 88#).
- At the prompt "Meridial Mail, Mailbox?" enter your 4-digit University phone number followed by the # key. If you are at your own telephone, you may just press the # (pound) key instead.
- At the "Password?" prompt, enter either your 4-digit phone number or the 4-digit password code you have been told to use, followed by #.
- You are now logged into voice mail and can listen to your messages using the following codes:
- 2 - Play the message
- 4 - Go Back one message
- 5 - Begin a Recording (such as your external greeting)
- 6 - Advance one message
- 76 - Delete or Restore a message. Please keep your mailbox empty if possible, because you may only have 4 minutes of full service mailbox storage.
- NOTE: Read messages are only stored in the mailbox for 14 days. They disappear after that.
- 83 - Dial "83" to end your voicemail session. This will update your mailbox immediately, rather than waiting for the midnight routines to catch any changes.
- # - This command is to indicate to Voice Mail that you are done entering a number or are finished with a recording. Think of it as "End", "Stop", "Enter" or whatever makes sense to you.
CHANGING YOUR PASSWORD:
Your intial (and default) password is your 4-digit University phone number followed by #. You should change the password to somethng you already have memorized, to make it easy for yourself. Common examples would be your 4-digit street address or possibly the last 4 digits of your home phone number. After your first use, voicemail will not prompt you to change your password again. You may use whatever you select for the duration of the time you have voice mail. For the security of your voice mail messages, you should never pick a very obvious combination such as "1111".
- After LOGGING IN to your mailbox, press 84 for Password Change
- You will be prompted to enter your new password, followed by #.
- You will be prompted to enter your new password a second time.
- You will then be prompted to enter your old password, to verify that it's you making this change.
- After entering this sequence, dial "83" before hanging up.
RECORDING YOUR GREETINGS:
Meridian Mail has 3 greetings to assist you in answering calls the way you want them answered.
- The External Greeting: This is the general greeting you should record. Example: "You have reached Voice Mail for John Q. Public, please leave a message."
- The Internal Greeting: is for special situations where you wish your On-Campus callers to hear a different greeting from your Off-Campus Callers.
- The Temporary Greeting: This is used when you will be away of leave or you have other TEMPORARY special instructions for your callers. You should not use this for your normal greeting because it adds a layer of inconvenience for your callers. The Meridian Mail will announce that "A Temporary Greeting is in use" and then your callers are required to press # to leave a message. However, this is an excellent feature to use if you will be on vacation, to notify your callers that your will be away for a certain period of time.
- To use the Greeting Feature, follow the instructions below:
- Log into Meridian Mail
- Dial "82"
- Press 1 for the External Greeting
- Press 2 for the Internal Greeting
- Press 3 for the Temporary Greeting
- Next, Press 5 to begin your recording. Examples: "You have reached voicemail for Lynden Johnson. Please leave a message" or "I am in Hawaii for the entire month of January. Please call Ext. xxxx in my absense."
- Press # to end your recording.
- Press 2 if you wish to review your greeting.
- Press 83 to end your session. This will update your mailbox immediately.
RECORDING YOUR PERSONAL VERIFICATION
To further personalize your mailbox, you can record your name. If you do this, the greeting sequence will insert your name in place of the phrase "the person at", which results in a nice flow to the message. Example: "John Public " is on the phone would replace "The person at ext 1234" is on the phone.
- If you choose to use this feature, record your name as follows:
- Log into Meridian Mail
- Dial "89"
- Press "5" to begin your recording
- Speak your first and last name
- Press # to end the recording
- Press 83 to save the new information immediately
